SOP for medical examination of employee in pharmaceutical industry
I. Purpose & Scope:
- The purpose of this Sop to provide guidelines and procedure to meet the requirement of medical examination of employee in pharmaceutical industry.
- This Standard operating procedure shall be applicable for Human Resources and Administration Department
II. Responsibilities:
• All Human Resources and Administration personnel shall be responsible to follow and implement this SOP.
III : Introduction and Procedural Part:
Procedure for medical examination of employee in pharmaceutical industry :
Medical checkup of employees shall be carried out on annual basis, by a registered medical practitioner only.
Medical checkup of employees shall be carried out at the following frequencies:
- Pre-employment (before Joining the organization). As per Annexure-I
- Periodic medical check-up, annually during employment.
- Eye checkup, annually during employment.
- Cephalosporin sensitive test, once before joining (if applicable) and periodically during employment.
Following minimum medical examinations shall be conducted;
- Physical Fitness – Height, Weight, Pulse and Blood pressure
- The personnel shall is free from Tuberculosis, skin and other communicable or contagious diseases.
in addition to above following Medical Examination also shall be conducted;
- Skin infection
- Chest x-ray
- Urine Examination
- Blood examination
- Stool Examination
Eye checkup shall be performed to include;
- Vision
- Color Blindness
- Stool examination test shall include physical test, chemical test and microscopic test.
- Cephalosporin sensitivity test for personnel handling Cephalosporin material/products.
A written approved annual contract shall be made by the company with a Registered Medical Practitioner, under which nature of test to be performed and the frequency thereof must be defined.
List of information required in the summary medical report shall be specified in the contract.
Following minimum information required in the medical report;
- Name
- Sex
- Age
- Employee code
- Company name
- Date of test
- Examinations conduced & findings.
- Concluding remark – The person is free from any Tuberculosis, skin infection/ other communicable or contagious diseases.
Copy of individual examination report for each test conducted shall be attached to the summary report, which include, but not limited to – Blood test report, X-Ray, Urine test report, Stool test report, ECG and others. (ECG shall be performed above age of 40 Years )
Each medical report shall be signed and stamped by the Registered Medical Practitioner.
Time Limit for submission of report by the contract acceptor shall be defined in the Annual Medical Contract.
Personnel department shall ensure that Medical examination of new recruit is conducted before he/she join the services. Medical test to be performed as per annexure-I
Medical examination report shall be reviewed by personnel department to ensure all the required examination have been conducted and action has been taken in case of adverse reporting.
After Review, these reports shall be stamped in blue with company seal
In case of any adverse report personnel department shall inform the respective department head. Necessary action shall be taken jointly by personnel department and respective department.
Department in-charge shall ensure that no person with a skin/ communicable/contagious disease or with open lesions on the exposed surface of the body is engaged in the sampling/ dispensing/ manufacturing/ packing of products. Supervisory staff should look for the signs and symptoms of these conditions.
Medical Examination Record for each individual employee shall be maintained.
In addition to periodic medical examination, staff shall be educated to report infections and skin lesions to their immediate supervisor so that appropriate action can be taken.
In case of person where the medical experts feel that the person is not physicality fit for job,
In case of temporary problems which are curable the person should be on leave till cure and should resume after getting no objection or fitness certificate from doctors.
If any major observation found with respect to the health of employee, let him advice to go for the specialist for the treatment of the same.
Note : In case of any person is on medical leave for at last seven days, before Resume He/ She is responsible to submit fitness certificate
